The Student Space Upgrade is a chance for you to request funding to transform your student space.  This can include new furniture, renovations, ripping up and replacing the gross old carpet… Anything you can think of to turn your student lounge into a functional, welcoming environment you’re proud to display.

Your application should focus on cosmetic changes, such as: paint, lighting, new flooring; furniture and equipment (microwaves, computers); or card reader access. Structural renovations to your student lounge (like tearing down walls) will not be considered through the SIF Student Space Upgrade funding stream.

There is no funding limit to how much money you can request for a Student Space Upgrade, however, the committee only has so much funding they can offer.  It is a good idea to focus on the most important upgrades you would like to make, rather than creating an elaborate, over the top application.

Along with the application, you will have to give a 5 minute presentation to the committee where you present your request; there will then be 10 minutes for the committee to ask you follow-up questions.

There are several different deadlines involved in a Student Space Upgrade application, so make sure you are familiar with these dates, and submit all your documentation on time.

The deadline to submit your Student Space Upgrade Application is: November 15 (every year).


To apply for a Student Space Upgrade, you must submit an application through the SIF database.  Log-in with your my.ryerson username/password, and make sure to select the “Lounge Application.”  The application itself will consist of 4 parts:

  • Primary contact (you)
  • Secondary contact (a fellow student planning this project)
  • Project Supervisor (a full-time staff member from your program department)

This is where you will answer questions about your requested improvements.  Make sure you are as detailed as possible when answering the following questions:

  • Requested Project Completion Date
  • What renovations/changes would you like to see happen?
  • What items in the above list are priorities? Why are they priorities?
  • Does your Program Chair support all the changes outlines above?
    You will need the support of your program department to complete any student space upgrades, so it is a good idea to speak to them before you begin filling out your application.

You don’t need to prepare a budget when submitting your application.  After submitting your application, we will forward it to Campus Facilities and they will prepare an initial budget that will be returned to you*.

*Any physical changes (flooring, paint, etc.) you are requesting must be done through Campus Facilities.  As well, if you are looking for furniture, it is best to work through the Campus Facilities approved vendors.

When submitting your application, you need to include the following supplementary documents:

Please feel free to include any other supplementary documents you feel will support or explain your request (such as a picture of the current space). It is a good idea to include drawings or layouts for your new design, as this will strengthen your application.

After Applying

After November 15, we will screen the submitted applications and submit the completed ones to Campus Facilities for budgeting.  This process will take about a month.

Before the University closes for the December holiday, we will send you Campus Facilities’ quote for your project. You will then have until January 15 to upload the following to your application:

  • A complete budget outlining all costs, in the proper format. (You can download the proper SIF Budget Template here.)
  • The quote from Campus Facilities for any furniture/equipment/labour.
  • Quotes for any additional furniture/equipment purchased from outside sources (if Campus Facilities is unable to provide the furniture / equipment you’re requesting).

If you do not update your application with your completed budget by January 15, you will not be granted a presentation slot and your student space upgrade will not be funded.

After January 15, we will contact you with the time and date of your presentation slot (this will likely be in mid-to-late February).

The committee will see all the lounge applications on the same night, and following all presentations, will make their decisions on how much funding to award each request.  All decisions by the committee are final.

N.B. This timeline is dependent on the workload of our colleagues in Campus Facilities and Sustainability and their ability to prepare budgets in a timely manner for all of the projects submitted by the November 15th deadline. We will keep you abreast of the process as it moves forward.
