Before You Start Your Move...
Quiet Hours
24 hour quiet hours begin at 1:00 am on April 12th.
Changes to the Guest Policy
No Overnight Guests (April 12th at 11 pm until April 27th at 12 noon)
During the exam period there is a need to restrict guest traffic in the residences, so that everyone in the community has a fair opportunity for quiet study. During the day guests are allowed in the building, so study groups can occur. At night the guest restrictions are put in place to allow residents time for restful sleep before their exams as well as personal study time. In Pitman Hall the cafeteria and study room (PIT-110) will be available all night for studying as well as the Academic Link Lounge. These areas are available without being signed in.
The exam overnight period is described as the hours between 11 pm and 8 am the next morning. During this period no guests are allowed to stay in the building or to be signed into the building.Academic Support
Academic Links will be hosting regular office hours during the exam period. Please keep in mind your Academic Link is in exams as well and may not be able to connect with you as quickly as they do during the academic year. If you have any academic emergencies it is best to connect with your program advisor or visit the Academic Link Facilitator in room 103, Pitman Hall during regular business hours.
When Do I Have To Move?
You are required to leave at 9 pm on the night of your last exam, or by 12 noon on April 27th, 2013, whichever comes first.
Moving Out EarlyYou may want to consider moving the majority of your belongings out the weekend before your final exam and keep only the essentials you need for studying. This allows you more time to move your belongings out on the weekend and your final move-out during the week will be that much quicker and easier.
Extended Stay RequestIf you need to stay longer than 9 pm on the day of your last exam, you must come into the Student Housing Services office and pick up an extension request package. Extension requests must be handed into the Student Housing Services by April 5th, 2013. If you would like to stay later than April 27th at 12 noon you MUST complete the extension request package to make arrangements with the Student Housing Services office. There will be a charge.
Staying for the SummerAre you going to be in the city for the summer? Have you thought about living in residence? There are spaces available in the ILLC. Don't delay, apply today!
If you are planning on staying in residence for the summer please come to the Student Housing Services office to complete an extension request package. Instructions for the change over from school year to the summer will be included in that package.How Should I Leave My Room?
Lock Your RoomPlease ensure that your door is closed and locked when you leave, as you are responsible for the room until we have completed your room inspection. You are NOT permitted to allow anyone to stay in your room after you move-out.
Garbage RemovalYour room must be returned to the condition it was in when you arrived. All belongings should be removed - garbage and recycling must be properly disposed of and NOT left in your room. If extra cleaning or garbage removal is required, you may be assessed an extra fee - please refer to the Repair and Replacement Charges Guide for more information.
Furniture
During the move-out period, there is increased demand on the garbage systems in all 3 buildings. Your cooperation is appreciated, in order to ensure the buildings remain clean throughout the exam and move-out period. All garbage and recycling must be bagged and disposed of in accordance with the directions posted. Further information on garbage and recycling will be emailed and posted on your floor in the coming weeks.If you rearranged your furniture please return all items to their proper position, and ensure there are no extra furniture items in your room or in the common areas of your suite. There is a fine for each extra and/or missing piece of furniture in your room - please refer to the Repair and Replacement Charges Guide for more information.
Room InspectionsA thorough room inspection will be completed after you have moved out. If you would like the room inspection to be completed while you are present you can make an appointment with Student Housing Services for the day of your move out. Please book your appointment before April 12th, 2013.
Damage/Excess CleaningYou are responsible for the condition of your room. If your room is not left in a satisfactory condition you may be assessed damage, cleaning or replacement charges - please see the Repair and Replacement Charges Guide for more information. If charges are necessary, you will be informed via letter in May, along with more details regarding the condition of your room.
ILLC ModemsThe modem in your room will be used by students next year, so please leave it in the room along with the telephone cable and power adapter. If any of these three pieces are missing during your room inspection you may be assessed a fee for replacement - please see the Repair and Replacement Charges Guide for more information.
Moving CartsTo ease your move, you will want to ask family and friends to bring carts and dollies with them in possible. We have a very limited number of carts that will be in high demand.
All My Stuff's Out. What Do I Do With My Keys?
Handing in your KeysWhen the office is open:
- Close and ensure your room door is locked
- Come to the Student Housing Services Office in Pitman Hall (PIT-100)
- Hand in your keys (room key, mailbox key, and residence I.D. card)
When the office is closed:
- Close and ensure your room door is locked
- Fill out an Express Checkout form at the Residence Services Desk
- Put your keys in the provided envelope and attach it to the form
- Hand in your keys and form at the Residence Services Desk
Student Fees Accounts
It is important that your Student Account is paid in full by the end of April. This includes tuition fees, residence fees, phone bills, and any miscellaneous charges. Any student with an outstanding balance will have an academic hold placed on their record which prevents viewing of final grades and could block future course registration.

MailAny mail that is received after you move out and after April 27th, 2013 will be Returned To Sender. Please inform your friends, relatives, schools, bank, credit card companies, etc. of your new summer address as soon as possible.
Donations for the Food BankIf you have any non-perishable, un-opened food that you would like to donate to the Food Bank, please bring them to the 1st floor of Pitman Hall.
Store Your Dorm
Store Your Dorm can help you if you are leaving campus in April/May and need storage until September. They'll deliver boxes & tape to you. They'll pick-up your goods in your room in April, store them for the summer then deliver them back to you in September, whether you live on or off campus. You don't lift a finger.
