Student Event Management

Hundreds of events are planned each year by the dedicated student leaders. Ryerson strives to support them by providing feedback and advice during the event planning process. We have designed the Student Event Management process to help demystify event planning and ensure that student events are safe and successful.

If you are planning a Ryerson event you should fill out our online form. You will be asked a number of questions about your event in the form. If you are more specific in the details you relate about your event, it will significantly reduce the amount of time required to review your proposal since we may not need to follow up with you for more details. The information submitted will be used by the reviewer(s) to understand the nature and structure of your event. Any information about content (names of speakers, topics to be covered, names of films being screened, types of games, etc.) and logistics (agendas, organizing structures, registration locations, etc.) will speed the process up.

We will provide feedback and suggestions based on the information you provide.

Use the online Student Event Management form to help you identify and prepare for:

  • Food safety
  • Public safety
  • Fire/gas safety
  • Accessibility
  • Transportation safety
  • Building/structural/site safety
  • Positive community relations

Staff and Student Programs will review the form with you and help you make your event the safest it can be. If you are a student who is planning a Ryerson event, please look over the event planning support documents below and fill out the online form at the link listed here to initiate the event management process:

  1. Book your on-campus space.
  2. Review the event planning documents provided on this site.
  3. Fill out the online Event Management Form AT LEAST 7 DAYS IN ADVANCE of your event date.
  4. Log in and respond to the comments of any reviewers and check the status of your event.

  1. Fill out the online form and you will receive valuable support and feedback regarding your event.
  2. Student event primary organizers must submit this document in ADVANCE of their event to the Student Information Desk, POD 61.
  3. All events involving out-of-city travel will require waivers. Please contact the Office of Student Programs for the appropriate waiver.
