Booking Your Event/Meeting/Conference

Step OneContacting Conference and Space Reservation Services

You can contact Conference and Space Reservation Services by calling 416-979-5000 ext. 7495 or sending an email to When contacting us please provide us with a few details about your event, such as:

  • What type of meeting space do you need? (classroom, meeting room, breakout room, dining room)
  • How many participants are you expecting?
  • What are your program dates?
  • What media equipment is required? (media cart, microphones, screens)
  • What food services are required for the event? (breaks, lunch, dinner or reception)
  • Do you need accommodations for your participants? For how many?

Step TwoEvent Details Communications

Once your request has been received, our office will confirm the availability of your requested dates and contact you within two (2) business days to confirm all of your requirements and explain our policies. A site tour will be arranged to show you the different venues available.

Step ThreeThe Quote (Tentative)

After confirming the event details with you, an itemized quote to confirm your event dates and requirements will be sent to you. Please note that all quotes have a release date. Upon acceptance of the quote, a detailed contract will be issued.

Step FourThe Contract

A contract will be sent to you stipulating the arrangements agreed upon and the associated costs. This document outlines the dates for your conference, event rooms with set-up details, media services, required deposits, and important deadlines for reporting guaranteed attendee counts and remitting payment. The contract must be signed and returned to us as specified in the cover letter. An initial non refundable deposit will also be due at the time of signing. Please refer to our booking policies for more information.

The contract serves as a legally binding contractual agreement between Ryerson University and your group. We encourage you to contact us with any questions or concerns before you sign the agreement letter or remit any non-refundable deposits.
