Pay continuity and sick leave processes during COVID-19 for employees who submit timesheets

As you know, these are challenging and unprecedented times. Earlier this week, Ryerson University communicated about shifting to essential services on campus.

Ryerson is committed to pay continuity during this period, and we ask that you work with your leaders to submit timesheets accordingly. The processes outlined apply to both employees who are still on campus and those who are continuing work remotely. 

Connect with your leader about continued work assignments 

Your work is still important to the university and where possible should continue remotely from an alternate location. Please connect with your supervisor/leader to discuss what can continue, and how to prioritize work assignments during this period. 

In working with your supervisor, you may be asked to do other duties that are appropriate based on your qualifications and in accordance with collective agreement provisions, if applicable. For example, a lab monitor may be asked to do online invigilation. 

Continue to submit your timesheets online 

Once you have connected with your leader on work assignments, please continue to submit your timesheets online as per usual practice.

If you and your supervisor/leader determine your work cannot continue remotely, to ensure pay continuity, please work with your supervisor/leader to submit the average number of hours per pay period that are outlined in your employment contract within eHR. 

If you are unable to submit your timesheet remotely, please connect with your supervisor/leader, who can submit on your behalf or provide you with a delegate who will be able to support in doing so. 

Note for invigilators 

Many exams may not be proctored as usual. Faculties/departments should establish the number of hours for invigilators who have approved contracts. Please connect with your supervisor/leader on next steps.

Submit your timesheet by March 25 for April 3 pay

In order to be processed for the April 3rd pay, timesheets need to be submitted by employees by Wednesday, March 25 and approved by supervisors/leaders or their assigned delegates by Thursday, March 26. 

Reporting sick leave for COVID-19 related illnesses

If you are experiencing symptoms, then sick leave provisions and the requirement to report in eHR apply. 

If you have exhausted your sick leave provisions, you will be provided a leave with pay. Please work with your supervisor/leader so that Ryerson HR is advised and can ensure the leave is properly entered into eHR. 

If you have not yet earned sick leave provisions or are not entitled to sick leave through your contract, you will be provided sick leave or a leave with pay.  Please work with your supervisor/leader so that Ryerson HR is advised and can ensure the leave is properly entered into eHR. 

If you are unable to report your sick time, please work with your supervisor/leader or a delegate that they provide who can input it on your behalf. 

Please note that the need for sick notes has been waived during this time. Tracking sick time in eHR remains necessary to ensure continuity of pay, monitoring of sick leaves longer than two weeks by Workplace Wellbeing Services and to track longer absences for long-term disability eligibility.
