Transitioning at Ryerson

This page is for transitioning students looking to update their name and/or gender identity on their Ryerson student record.

Student Records is committed to creating an environment where all individuals are treated with respect and dignity, and supporting all students to reach their academic potential. We know that students are most successful when they feel secure and comfortable at school, and recognize that updating their Ryerson student record to reflect their identity is important for many transitioning students.

While transitioning is a highly personal and individual experience, we provide resources so transitioning students know that there are confidential options to make changes to their Ryerson student record so that it is consistent with their identity.

You are welcome to make an appointment to help you through every step of updating your Ryerson student record. Any discussions or information disclosed will be kept completely confidential.

 Step 1: Update Your Preferred/Correct Name

If you do not want to change the official name on your Ryerson student record, there are some options to help make sure you are addressed by the correct name.

Change your Ryerson Gmail display name

You can change the name displayed in your Ryerson Gmail account, external link when you send and receive emails.

Contact your instructors

You can contact your instructors at the beginning of term to let them know your preferred/correct name and pronouns, even if you have not changed the name on your official Ryerson student record. The RSU Trans Collective, external link has useful information about this option on their website, as well as a sample letter to send to your instructors.

 Step 2: Update Your Official Name on Your Student Record

The official legal name on your Ryerson student record is used for all purposes, and there is not an option to choose different names to display for specific purposes. We are committed to providing the best possible service to all students, and will continue to evaluate possible options.

If you want to change the official name on your Ryerson student record, the first steps will depend on whether you have made a legal name change.

Student Records' Role:

  • Student Records will ensure that we have received all forms and information required to update your Ryerson student record.
  • We will also change your official name and/or gender on your Ryerson student record. This will ensure that the name appearing on class lists, grade rosters, academic histories, RAMSS Student Center, and on all official university documents (including transcripts and graduation awards) is consistent with your identity.

Legal Name Change

To apply for a legal name change, you will need to contact your home province or country of origin, and follow the appropriate application procedures.

If you are from Ontario, instructions for applying for a legal name change in Ontario can be found on the Service Ontario website, external link.

  1. Complete the Personal Data Change Form.

    • If you have legally changed your name, in Section B: Reason for Personal Data Change, check the box marked Official Name Change, and provide your Change of Name Certificate and/or other government-issued ID showing your new legal name as supporting documentation.
    • In Section C: Request for Amendment to Name and/or Other Information, fill out any fields that you are requesting to change on your Ryerson student record (such as your name and/or gender identity) with the updated information.

    Note: All of the fields in Section C are optional. For any fields where you don’t specify updated information, the data on your student record will not be changed.

  2. Submit your Personal Data Change Form with the required supporting documentation to Bruno Vani, Manager, Student Records at bruno.vani@ryerson.ca.

 Before you proceed:

It is really important to know that updates to your Ryerson student record made through the Student Records Statutory Declaration for Change Form will not change the legal name on file with other official organizations outside of Ryerson. As a result, you may run into some issues with matters like OSAP, RESP providers, tax receipts, potential employers, other universities, Citizenship & Immigration Canada, health insurance providers, and grad school applications. These external organizations will continue to use your legal name and may require further proof that any Ryerson student records or documents are your legitimate records.

If you are planning on eventually changing your legal name, you may find that it is better to do that first, before changing your Ryerson student record, in order to avoid these obstacles. Once you have changed your legal name, you can follow the instructions under the I have legally changed my name tab above to submit your Personal Data Change Form.

If you have not made a legal name change, we are happy to work with you to identify the best option for updating your student record.

  1. To change the official name on your Ryerson student record without making a legal name change, you will need to complete Ryerson's Student Records Statutory Declaration Form for Change of Name and have the form signed and sealed by a commissioner of oaths.

    • You can submit this form as the supporting documentation for your name change.
    • This form is a method for you to declare your intention to change your name, and for Student Records to officially connect your updated name to your Ryerson student record.
    • This form was developed to balance both the need to support transitioning students who have not completed a legal name change, and Ryerson's obligation to protect the integrity of its student records.
  2. Complete the Personal Data Change Form.

    • In Section B: Reason for Personal Data Change, check the box marked Transitioning/Gender Identity & Expression – without Official Name Change
    • In Section C: Request for Amendment to Name and/or Other Information, fill out the updated information for any fields that you are requesting to change on your Ryerson student record, such as your name and/or gender identity.

    Note: All of the fields in Section C are optional. For any fields where you don’t specify updated information, the data on your student record will not be changed.

  3. Submit your Personal Data Change Form with the required supporting documentation to Bruno Vani, Manager, Student Records at bruno.vani@ryerson.ca.

Required Forms

While the ServiceHub is closed for in-person services, Student Records will temporarily accept Personal Data Change requests via email to studentrecords@ryerson.ca. Requests must come from your Ryerson email address and you must attach:
 

  • A scan or image of your Ryerson OneCard
  • A scan or image of your supporting documentation
  • A complete Personal Data Change Form

Personal Data Change Form

Use this form to make changes or corrections to your name or gender identity on your Ryerson student record.

Statutory Declaration Form for Change of Name

Use this form to update the name on your official Ryerson student record if you have not made a legal name change. This form serves as supporting documentation for the Personal Data Change Form.

 Step 3: Update Your Ryerson OneCard and Next Steps

Once the name on your Ryerson student record has been updated, you can contact other departments to help you update your school accounts.

  1. Replace your OneCard: To request a new card, you can fill out and print the PDF fileNew/Replacement OneCard Form and bring it to the OneCard Office located at JOR-02. The normal replacement cost will be reduced to $10.
  2. Update your information with Human Resources: Change the personal information on file with Human Resources and update eHR if you also work at Ryerson (for example as a teaching assistant, graduate assistant, research assistant, work study student or other student employee).
  3. Verify your OSAP information: If you are receiving OSAP or other government financial aid, the assessment and distribution of your funding requires that your Ryerson student record matches the information received by the government. Follow up with Carly Basian, Manager, OSAP at cbasian@ryerson.ca or 416-979-5000 ext. 544321 to identify any additional concerns with OSAP or other government aid.
  4. Request a new my.ryerson.ca username: If applicable, make the request through CCS (help@ryerson.ca or 416-979-5000 ext. 556840).

Resources for Transitioning Students

 Student Personal Information Collected for Statistical Purposes

Ryerson is required to report student-level enrolment-related data to Ontario’s Ministry of Training, Colleges and Universities (MTCU) as a condition of its receipt of operating grant funding. The Ministry collects this enrolment data, which includes limited personal information such as Ontario Education Numbers, student characteristics and educational outcomes, in order to administer government post-secondary funding, policies and programs, including planning, evaluation, and monitoring activities.

Ryerson collects all variables required as part of this enrolment reporting, including gender, as part of creating and maintaining your Ryerson student record. Gender is recorded for statistical purposes only, and is not disclosed on transcripts, graduation awards, or other university documents.
