What is the role of a Recruiter?

A recruiter is responsible for ensuring eHire job openings and postings data is accurate. This includes using the correct job opening template, assigning a department, selecting a hiring manager and defining the workload in the responsibilities section of the job posting. How long does it take for an offer to expire?

By default, the offer expires 5 days after you create an offer. The approver must approve the offer and applicant must accept the offer within this 5 day time period. As a recruiter, you may extend the expiration date of the offer on the job offer screen. For instructions on how to do this refer to the Recruiter user guide.

What is the difference between Positive and Average Hours?

Positive Hours: Employees report time in Self Service using an electronic time sheet to record the total number of hours worked each day and any absences that occur.
Average Hours: The employee will be automatically paid on each pay day. The employee is not required to report the total number of hours worked and any absences that occur.

How can I link External/Internal Applicants to Reserved Postings? (non-posted)

First, create a job opening, then define the responsibilities section of the posting but do not specify any posting dates for the internal and external posting destinations. For instructions on how to do this refer to the Recruiter user guide.

Do I have the ability to enter a contract date in the past?

No. Recruiters cannot create job openings and postings for past dates. Applicants are required to be presented and accept a valid electronic offer prior to the start date of the position. For instructions on how to do this refer to the Recruiter user guide.

How do I find an Applicant?

To find an applicant, use the Search Applicants menu or Applicants tab in the job opening. The recruiter has the ability to locate applicants by their name and various other search criteria. For instructions on how to do this refer to the Recruiter user guide.

Why is my posting not displayed on the careers page or in recruiting self-service?

You need to assign posting dates for the internal and external posting destinations. You can do this by clicking the posting title under the job postings section of the job opening. For instructions, please refer to the Recruiter user guide.

Why can’t I find an external applicant?

The external applicant must create their applicant profile before their information becomes available to recruiters. If you are having trouble finding an external applicant, please ask the applicant to complete their applicant profile. Please have the applicant refer to the external applicant guide. Do I have the ability to change the supervisor?

By default, the primary hiring manager is copied to the supervisor field during the offer stage, however this can be changed to indicate the actual "reports to" of the applicant. This supervisor is copied to the employee’s record.

Approver/Reviewer questions
What is the role of an Approver?

An Approver is responsible for reviewing job offer details and (optionally) editing the distribution code information. Once the offer is approved, eHire routes the offer to the applicant for acceptance, and sends a copy of the offer letter to the primary recruiter. What happens when an Approver Denies a Job Offer?

Once an offer is denied, an email notification will be sent to the recruiter. The recruiter will be able to see the name of the approver that denied the job offer. 

How do I view Posting Details?

To view posting details, use the “Search Postings” menu. For instructions on how to perform the Approver role in eHire refer to the Reviewer user guide.

Hiring manager questions
What is the role of a Hiring Manager?

This purpose of this role is to allow persons to view a job opening with its applicants and take part in the selection process. If the hiring team includes multiple persons who will view the job opening and its applicants, one must be designated as the primary hiring manager. For instructions on how to perform the Hiring Manager role in eHire refer to the Hiring manager’s user guide.

Who can be a Hiring Manager?

The hiring manager of a job opening could include faculty, supervisors or a specified person from the department. 

Why can’t I send out a job offer?

Only the recruiter has the ability to send out job offers to approvers. Hiring managers are only able to view applicants that have applied to job openings.
